About The Role and Team
The primary function of this role will be to partner with the business and support the Operations function at Quantum Motion. As a small but dynamic team, this role will report to the Office Manager, ensuring the efficient running of our London offices by managing key administrative tasks and providing essential support to the wider team.
As an Office Coordinator, the position will suit someone who brings strong organisational and communication skills, can think on their feet and thrives in a fast-paced environment. Our team of 60+ is based in Oxford and London, with a centre of mass in our Islington lab.
Functions of the Role
Phone Handling: Manage incoming calls and direct them efficiently based on company protocols.
Parcel Management: Oversee parcel receipt, distribution, and shipments; manage courier accounts.
Office Supplies: Ensure timely replenishment of office, kitchen and bathroom supplies
Refreshment Management: Maintain coffee machine maintenance and stock kitchen with snacks and beverages.
Team Support: Assist with coordinating team events, celebrations and special projects such as gifts.
Health & Safety: Perform regular safety checks and manage security protocols.
Facilities Coordination: Collaborate with cleaning, maintenance, and IT teams to ensure a well-maintained office environment.
Experience – Essentials
Strong organisational and excellent communication skills
Comfortable multitasking and managing time effectively
A curious, adaptable individual with strong problem-solving skills
Proficient in using Google Suite
